Welcome to the ‘Users’ tutorial.
In this tutorial you will learn how to create and manage users in the CogBI Server. CogBI Server has advanced user administration features that provide you with fine grain control over how users in your organization interact with its data.
A user in the CogBI Server represents an actual user in your organization and it should be assigned the clearances and capacities that the user carries in real life. In the context of business intelligence and with CogBI Server’s user’s administration you will be able to define the following for every individual user:
User creation and management: Adding, modifying and deleting users in the CogBI Server.
Database management: Adding, modifying and deleting databases in the CogBI Server.
Query management: Adding, modifying and deleting SQL queries in the CogBI Server.
Dashboard management: Assigning and modifying which Dashboards are accessible to users in the CogBI Server.
Dashboard permissions: Defining individual permissions to view, modify and share Dashboards in the CogBI iOS app.
NOTE: The default ‘Administrator’ user that is created when the CogBI Server is accessed for the first time can only be used within the CogBI Server. The ‘Administrator’ user cannot be used in the CogBI iOS app to access and view data. All users may access the ‘Web Administrator’ of the CogBI Server, but features available to them will be limited by the privileges defined for each individual user.
Although the features described above provide you with flexible management of the users of CogBI, setting it all up is very straightforward. Continue reading below to learn how to:
Follow the steps below to create a new user in the CogBI Server:
Open and Log In to the CogBI Web Administrator by launching it from the CogBI Service Monitor or by typing the Host Name/IP Address that you assigned to the CogBI Server directly in a browser:
Click on the Users tab located in the main toolbar:
Click on ‘Add User’:
The following fields are available for every new User that is created in the CogBI Server (the required fields are underlined):
User Name: Unique user identifier.
Temporary Password: A temporary password for the user. The user will be required to change its password the first time it logs in to the CogBI Server or the CogBI iOS app. This password must be at least 8 characters long.
First Name: The user’s first name.
Last Name: The user’s last name.
Title: The user’s role title or description.
Email: The user’s email address.
Phone: The user’s phone number.
Extension: The user’s extension number.
Privileges: The following are the descriptions of all privileges that can be assigned to a user. Please read them carefully and make sure that they’re completely understood before assigning them to any user.
Manage Users: This privilege allows the user to create new users and to modify existing ones. User creation and modification is performed in the CogBI Web Administrator.
Manage Databases: This privilege allows the user to add databases, to modify the settings of existing databases and to delete existing databases. Database management is performed in the CogBI Web Administrator.
Manage Queries: This privilege allows the user to add SQL queries, to modify the characteristics of existing queries and to delete existing queries. It will also allow the user to define others’ users access to the results of the queries stored in the CogBI Server (Data Sources), effectively giving it the power to decide to whom the data from the databases is available and the data that they can have access to. Query management is performed in the CogBI Web Administrator.
Manage Dashboards: This privilege allows the user to define and modify the relationship between users and Dashboards. Dashboards are only accessible in the CogBI iOS app and a user with this privilege will have the power of deciding which Dashboards may be available to every user. Dashboard management can be performed in the CogBI Web Administrator and/or in the CogBI iOS app.
Dashboard creation: This privilege allows the user to create Dashboards in the CogBI iOS app. In order to create a Dashboard, a user must have access to at least one Data Source. Dashboards can be created only in the CogBI iOS app.
Dashboard viewing: This privilege allows the user to view Dashboards in the CogBI iOS app that are owned by it or shared with it. The user must have access to the Data Sources used in a Dashboard in order to be able to view it successfully and completely. Dashboards can be viewed only in the CogBI iOS app.
Dashboard sharing: This privilege allows the user to share the Dashboards that it owns with other users. When a user shares a Dashboard with another user, the receiving user must have the access to the Data Sources used in the Dashboard in order to view it. If the the sharing user has query management privileges it may grant access to Data Source privileges to the receiving user. If the sharing user does not have query management privileges then it may request them when sharing a Dashboard. A user with query management privilege will review the request and grant or deny it. Dashboards can be shared in the CogBI iOS app and/or in the CogBI Web Administrator.
Fill out the fields described above for the user that you’re creating. In this example we will create a Mr. John Doe and grant him all the privileges:
After the user has been created successfully, you will receive a success message and it will be added to the list of users. The user may now be used in the Web Administrator and/or in the CogBI iOS app according to its granted privileges:
To modify an existing user in the CogBI Server, click on the ‘Edit Button’ next to the user that you wish to edit (in this example we will modify the information of ‘Mark Young’, the sixth user in the list):
You may review the user information and modify as necessary (the User Name cannot be modified). You can also reset their password to a temporary one here. In this example we will change Mark Young’s phone number:
After the user has been modified successfully, you will receive a success message and you will be taken back to the user list:
To delete an existing user click on the ‘Edit Button’ next to the user that you wish to delete (in this example we will delete the ‘myoung’ user, the sixth user in the list):
If you only wish to change the user’s password you can do so by clicking on the ‘Reset Password’ button. If you wish to permanently delete the user click on the ‘Delete User’ button at the bottom of the screen:
You will be asked to confirm that you wish to delete the user. Click the ‘Delete’ button to confirm and delete it permanently:
You will receive a confirmation message after the user has been deleted:
